Position Summary

The Director, Outpatient Operations will direct and oversee outpatient clinical practice operations at all Departmental sessional sites, standardize workflows across Departmental and Divisional sites, work to improve practice efficiency and patient experience across all sites, serve as a member of the Departmental Leadership Council, and represent the Department in all FPO outpatient initiatives and related committees.


Responsibilities

OPERATIONS

  • Serve as a subject matter expert for all front-end EPIC processes (ie registration, insurance verification, referrals, authorizations, charge entry, time of service payments, cash and credit card processing)
  • Assist Departmental site managers in managing daily schedules and staffing
  • Act as a liaison to the ColumbiaDoctors FPO by representing the Department at meetings and serving on related FPO committees; interpreting, implementing, and monitoring compliance with FPO-recommended policies, workflows, and processes; participating in special projects / targeted FPO-initiatives related to practice operations and access/patient satisfaction.
  • Ensure standardization across the Department by working with Divisional leadership to apply Departmental and FPO policies, workflows, and processes to Divisional sites
  • Ensure that all outpatient sites and staff are compliant with organizational / Departmental / Divisional policies and procedures and applicable regulatory agencies (e.g., OSHA, JCAHO, DOH, HIPAA, billing compliance, etc.)
  • Promote the use and implementation of technology across outpatient sites to streamline operations, facilitate communications, and optimize work processes
  • Act as a liaison between the Department and the FPO Call Center, tracking performance metrics and service levels
  • Travel to all clinical sites (Departmental and Divisional) on a periodic, routine basis
  • Work collaboratively with faculty leaders and site managers to create relevant outpatient metrics and define benchmarks to track patient access and throughput, space and staff allocation / utilization, provider documentation, and adherence to revenue cycle processes
  • Continuously evaluate workflows, space and staff allocation / utilization, and patient experience to identify areas for improvement, and develop / conduct / track related process improvement initiatives
  • Collaborate with Departmental site managers and faculty leads to provide timely response to patient complaints, ensure documentation of service recovery activities, and assist in coaching staff in customer service skills.
  • Work with the Medical Director and other faculty leaders to define QA standards, and escalate cases to the Departmental Quality and Patient Safety Committee, perform root cause analyses, and implement corrective action plans as needed.
  • Oversee changes in space rental agreements, coordinate capital projects and renovations of any existing Departmental sites, and be integrally involved in the planning and execution of outpatient expansion initiatives
  • Assist site managers in vendor interactions including pricing of new and / or replacement products, negotiating discounts, and address delivery / supply chain issues
  • Review all purchases / expenditures by Department site managers on a regular basis, and ensure charges are appropriately allocated to the correct accounts

SUPERVISION

  • Provide direct supervision of Departmental site managers in HR activities related to site administrative and clinical staff including recruitment, screening, interviewing, hiring, orienting and training, conducting performance appraisals, coaching, developing and executing disciplinary actions and terminations, processing resignations, and assisting in conflict mediation.
  • Develop standards of outpatient staff performance including methods and metrics; support Departmental site managers in communication expectations to site staff
  • Cross cover Departmental site managers as needed during absences/vacancies and performs other duties as needed

 


Minimum Qualifications

Bachelor’s degree or equivalent in Healthcare Administration or related degree; plus five years’ progressive experience in the healthcare setting including at least 3 years of practice management and supervisory experience


Preferred Qualifications

  • Strong leadership, communication and interpersonal skills to direct work, drive change and effectively collaborate
  • Proven ability to quickly identify problems, propose and implement solutions
  • Competency with Microsoft Office programs
  • EPIC experience strongly preferred
  • OB/GYN experience a plus
