Position Summary

Reporting to the Director of Academic Administration and Finance, the incumbent coordinates the department's course scheduling and registration processes and provides administrative support to the Director of Undergraduate Studies and the department's undergraduate programs and students.


Responsibilities

  • Under the general supervision of the DAAF, the Coordinator populates, proofreads and tracks the department's entries in the university’s course management system; liaises with colleagues in the registrar’s office to ensure that published course lists are accurate, classes are scheduled correctly, and appropriate classrooms are secured for all courses. Prepares approval requests for new courses . Proofreads the department's sections of school Bulletins. Updates curriculum information on the department's website, including schedule of courses, syllabi, registration instructions, and related details.

  • The incumbent assists with coordination of part-time teaching appointments, selecting appropriate contract letter templates and preparing drafts in a timely manner. Liaises with centers, institutes, and programs on whose behalf the department appoints part-time faculty and tracks and reports to DAAF and Business Manager key details of such appointments.

  • Orients faculty to university and school academic policies, processes, and tools related to course management, registration, and course scheduling. Assists faculty in the use of CourseWorks, wait lists, program change, and grade change tools and processes.

  • Assists the DAAF and faculty officers in improving the department's management of courses and curricula. Uses Course Management, Student Desktop Reports, CourseWorks and other university data sources to support the DAAF and faculty in curriculum analysis and academic planning efforts, collecting, proofreading, and formatting data related to course offerings, enrollments, and faculty teaching records as requested. Assists in the course evaluation process for the department, supporting faculty and teaching assistants as needed in the use of the course evaluation tool.

  • Serves as the primary source of administrative support for the Director of Undergraduate Studies and undergraduate students. Maintains confidential records of undergraduate majors and concentrators, tracking transfer credit and program arrangements approved by the DUS. Carries out certification of majors and concentrations, consulting with the DAAF and DUS as needed; coordinates applications to the Honors Seminar, and prize and honors selection processes. Publicizes and explains program requirements and administrative policies and procedures to students and faculty, ensuring that all related forms and department publications are accurate and current. Plans and coordinates special events for undergraduates. Liaises with undergraduate student association and honor society in support of their needs and activities.
  • Performs other related tasks as assigned.

Minimum Qualifications

  • High school diploma or the equivalent and three years' related experience required.   


Preferred Qualifications

  • Some college preferred.

Other Requirements

  • Proficiency with Microsoft office productivity applications required. Facility with or ability to quickly acquire facility with electronic student information, course management, content management and other administrative systems required.
  • Excellent interpersonal, writing, and proofreading skills required. Discretion, attention to detail and excellent organizational skills are essential.
  • Must be able to meet deadlines and work independently on concurrent projects.
