Position Summary
Reporting to the Dean Emeritus, the Associate Director is responsible for managing the day-to-day activities for the Dean Emeritus. This individual will provide high level administrative and executive level support to the Dean Emeritus and works closely with faculty, students, administrators, alumni, senior corporate executives, and major contributors (both corporate and private) throughout the United States and abroad. The incumbent will administer programs, conduct research, analyze data, and generate reports.
Responsibilities
Independently manages an extensive calendar; prepares briefs, presentations, agendas, conference materials and correspondence; submits expense reports; develops systems to facilitate the smooth functioning for the Dean Emeritus and the implementation of organizational objectives; liaises other executive level assistants to ensure optimal coordination of the senior leadership teams. Screens and refers all inquiries to appropriate staff for action and responds to complex inquiries based on policy.
Responsible for the planning, implementation, and the coordination of all logistics for business and entertainment functions and special events for the Dean Emeritus. Provides independent research and confidential information to the Dean Emeritus related to members attending, including University officials as well as corporate executives, major contributors, and the Board of Overseers. Responsible for compiling and providing information and arrangements to the attendees.
Responsible for oversight of electronic information and works to ensure data integrity. Creates and updates webpage information.
Performs independent research for the Dean Emeritus: researching materials on the internet and in libraries, and providing assistance with design of presentations, as well as handling communications for the Dean Emeritus’s speaking appearances and publications.
Performs analysis as needed. Researches, compiles, and evaluates data and reports for the Dean Emeritus. Receives, reviews and makes appropriate disposition of correspondence, using independent judgment and initiative. Drafts and creates complex computer presentations and teaching materials.
Performs related duties and special projects as needed.
Minimum Qualifications
Bachelor’s degree and/or its equivalent required. 3 years related experience required.
Excellent proficiency with office technology required. Ability to manage multiple projects with changing deadlines in a high-volume environment required. Demonstrated experience handling confidential information with exceptional discretion required. Ability to perform non-routine work and attention to detail necessary. Must be able to work independently as well as within teams. Must be able to work evenings and weekends on short notice, and during peak periods.
