Position Summary

Columbia University's Mortimer B. Zuckerman Mind Brain Behavior Institute (Zuckerman Institute) supports interdisciplinary neuroscience research and discovery by scientists and scholars across the university and promises to be the most comprehensive institute for brain science. Located in a state-of-the-art facility, world-class researchers are brought together to transform our understanding of the brain and mind.

The Abdus-Saboor Lab is seeking an organized, flexible and highly motivated individual to serve as the Administrative Lab Manager independently overseeing a variety of high-level administrative functions associated with the smooth running of the Lab. These responsibilities include operational areas related to travel, scheduling, purchasing, finance, expense monitoring and research staff hiring and onboarding.

Central to this role includes supporting the lab’s research grants, contracts, and all compliance related protocols related to the research, including tracking, monitoring and audit compliance, fully assisting the PI along every step of the process.

This is a fulltime five day a week in-person position designed to ensure efficient high-functioning infrastructure to support operations, research and educational missions within the lab.


  • Organizes and maintains busy calendar and all meetings for Dr. Abdus-Saboor ensuring that Dr. Abdus -Saboor’s schedule is accurate and clear and up to date.
  • Organize and book all academic travel for Dr. Abdus-Saboor and lab members. Maintain reimbursements with a highly organized and timely system for reimbursements.
  • Schedules regular and special meetings; oversees group communications for lab members including researchers and students.
  • Serves as a point of contact for visitors and vendors. Organizes and manages print and digital records, correspondence, and other files as necessary. 
  • Focal point for the development and administration of annual and grant budgets; processes and monitors expenditures, reconciles budget reports, and forecasts project budget discrepancies, consistent with ZI Finance procedures and policies.
  • Oversees all purchasing and service contracts for the lab as well as compliance with any contractual obligations and manages/tracks reimbursements consistent with Finance policies.
  • Supports and monitors research related activities to ensure compliance with University and funding agency regulations. Maintains accurate and complete records to meet fiduciary responsibility and comply with audit requirements. 
  • Assist the PI with grant process from planning to submission and keeps track of non-competing submission dates for the investigator.
  • Collaborates with the grant management office of the Zuckerman Institute to ensure timely submission of all required documents for pre-award submissions. 
  • Coordinates lab hiring and training of new personnel in compliance and proper laboratory protocols; coordinates renewals and termination of employment for lab researchers and staff consistent with ZI HR policies and timeframes.  Oversees the daily operations of the lab staff including time off, payroll and other topics.
  • Serves as the administrative contact for AALAC inspections and EHS to ensure research compliance. 
  • Manage IACUC compliance, updates, and annual renewals.
  • Check in with lab members to keep track of mouse colony cage number, ordering, and monthly mouse colony bill.
  • Performs additional duties and special projects as required, including managing communications in Slack and The Hub
  • Acts as the lab Quartzy Administrator.
  • Manages and reconcile all P-card transactions for the lab including iLab invoices
  • Delegate in Columbia’s travel system, CONCUR, for the Lab.

Minimum Qualifications

  • Bachelor's degree required, including at least two (3) years of related experience.
  • Must be highly proficient with computer applications.
  • Experience working with Word, Excel, and other database applications is essential.
  • Strong analytical skills needed. Must be organized and detail oriented and possess financial management and budget experience. 

Preferred Qualifications

  • Must have the ability to multi-task, maintain attention to detail in a busy work environment, and work independently under minimal supervision.
  • Must be able to exercise judgment, initiative, and a high level of discretion. Must possess a strong ability to interact with tact and diplomacy.
  • Must be able to work independently as well as collaboratively, and take a proactive approach and anticipate needs.  
  • Prior experience working with budgets, federal grants, and/or in grants management is highly desirable. Previous experience with RASCAL, IACUC, ARC, and ASSIST is preferred.
