The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary
The Administrative Coordinator will primarily assist the Associate Director of Administration and Planning, Clubs & Organizations, with coordinating strategies and logistics related to the financial and administrative operations of Undergraduate Student Life Clubs and Organizations. Reporting to the Associate Director, the Coordinator will support critical departmental functions including maintenance and upkeep of the student engagement platform (e.g., CampusGroups), assessment, communication efforts, purchasing, accounts payable, and student advisement.
In addition, the Coordinator will work in close collaboration with the Director of Clubs and Organizations and the Clubs and Organizations Leadership Team to support programmatic and operational needs related to student experience, helping to ensure alignment between administrative processes and the overall student clubs and organizations experience across Undergraduate Student Life.
The incumbent will maintain independent correspondence, research information, process financial documents, organize data, and prepare reports. They will prioritize and prepare for daily, weekly, and monthly student group financial and administrative activities by assembling and organizing documents and information in the student engagement platform. The Coordinator will also assist with implementing effective communication strategies and support the assessment of departmental programs and services.
The role will liaise with various central administrators from Columbia Procurement, Columbia College, and external vendors, including Columbia College Informational Technology.
Responsibilities
- The incumbent will be providing administrative and financial support to the Associate Director of Administration and Planning team by maintaining the day-to-day functionality of the student engagement platform. This includes maintaining budgets for all student groups, monitoring and updating account activity, and ensuring accuracy across all financial records within the system. Additionally, the incumbent will be responsible for troubleshooting any portal related issues, working with internal teams and external partners as needed to resolve system errors, access concerns, and functionality challenges. The incumbent will also maintain a clear, up to date system that visibly reflects the activity, both financial and non-financial, for every single student group in the student group portal. This includes ensuring that all transactions, approvals, and updates are properly recorded, easily accessible, and aligned with University policies and procedures.
- Assist the Associate Director of A&P and collaborate closely with the Director of Student Engagement, Clubs and Organizations, and the Clubs and Organization Leadership Team in implementing effective communications and strategies for primarily electronic media formats, including editing and developing content for the student engagement platform, supporting other existing communications channels, and helping identify new marketing opportunities for the department.
- Books air, ground, and rail transportation and lodging for undergraduate students, University visitors, and Undergraduate Student Life (USL) staff, working closely with USL Leadership Team and advisers to ensure compliance with Columbia University and Columbia College travel policies. Reconciles travel expenses and processes reimbursements via Concur, including travel advances and travel spend reporting. In collaboration with the Assistant Director for P card and Travel, serves as the primary point of contact for travel bookings, logistics, itineraries, and related inquiries for staff, students, and visitors.
- Supervise Undergraduate Student Life training efforts on the student engagement platform, serving as the primary point of contact for troubleshooting any issues staff may encounter while using the platform.
- Participate in the growth and development of USL, the College; School of Engineering, and Columbia University, including providing support for key initiatives and experiences, serving on committees, and collaborating with College and University partners to further the work of USL and the College.

Minimum Qualifications
- High School diploma or the equivalent required
- Three years related experience required
- Must be able to clearly communicate complex financial policies and procedures to a wide-range of individuals
- Computer literacy required with Windows experience, including strong proficiency with Google for Business G Suite (Gmail, Google Drive, Google Calendars, etc.), Microsoft Office suite including hands-on experience with intermediate-level Excel functions; slack, and others as needed
- Previous experience working with website content management systems, social media platforms, and web-based applications required. Strong analytical and mathematical skills required; excellent written, organizational, communication, and interpersonal skills essential
- Must be self-directed, motivated, detail-oriented, and creative and possess patience, tact, professionalism, and an ability to function effectively with a broad constituency
- Must demonstrate a proven record of anticipating needs, seeing projects from conception to completion, changing directions, and effectively collaborating while managing competing priorities
- Experience handling, prioritizing, and executing multiple projects accurately and providing high-quality results and customer service
Preferred Qualifications
- College degree strongly preferred
- Background in student affairs, academic administration, and/or previous experience working with financial systems in higher education
- Knowledge of student activities and events
- Familiarity with assessment best practices, survey technology, and prior experience with coding data
