The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Under the supervision of the Lab Director, the Administrative Coordinator will support all administrative duties related to the Cytogenetics Laboratory in the department of Pathology and Cell Biology.  This includes acting as the primary liaison with the department’s central administration offices including operations, finance, and human resources. In addition, administrative work in support of clinical laboratory work and acts as an intermediary between the clinical staff and faculty members. Flexibility to handle occasional communications (emails and phone calls) outside regular office hours for efficiency.


Administration (60%) 

  • Coordinating with laboratory technologists and supervisors to appropriately direct processing of tumor specimens.
  • Tracking the case reports to meet the College of American Pathologists (CAP) and NY State requirements.
  • Liaising with other divisions and business partners to ensure compliance with university policies and regulations.
  • Ordering and maintaining laboratory supplies.
  • Schedule and calendar management
  • Travel arrangement
  • Visitor scheduling and coordination
  • Liaising with facilities to ensure center space is safe and operational
  • Liaising with facilities to ensure all equipment are in working order
  • Varying levels of administrative assistance to other center/division faculty members on an as needed basis.

Accessioning (25%) 

  • Preparing paperwork and accessioning cases in Pathology computer system.
  • Organizing, labeling, preparing the paperwork of cancer specimens for diagnostic workup.
  • Transcription of karyotype and FISH reports in Pathology Computer System
  • Required to check for clinical information of cancer samples on receipt and requesting additional clinical information from the Pathology labs or clinicians

Finance (10%) 

  • CPT coding and billing.
  • Processing and submitting expense reimbursements

Other duties as assigned (5%) 

Minimum Qualifications

  • Requires a Bachelor's degree in business administration or equivalent in education, training and experience, plus two years of related experience. 

Other Requirements

  • Strong interpersonal, communication (both written and verbal) and organizational skills are a must. 
  • HIPAA compliant training.
  • EPIC, patient information systems, training is required.
  • Ability to work Monday to Friday from 10 AM to 6 PM
  • Knowledge of cancer genetics terminology.
  • Computer Proficiency at an intermediary to advanced proficient level (most especially involving Outlook, Word, Excel, PowerPoint, Adobe Acrobat)
