The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Department of Medicine at Columbia University Medical Center (CUMC) is seeking an individual to work as an Administrative Coordinator for Infrastructure and Space Initiatives in its Core Administrative Unit. The individual will work directly under the Administrator for Space and Infrastructure and the Director of Operations to coordinate all aspects of large capital projects including research laboratories, major infrastructure and educational initiatives.


  • Monitor schedules for all aspects of projects including design, construction, relocations, furniture procurement & installation, and move-ins.
  • Coordinate services with CUMC Telecommunications, ITS (data), Facilities Management Operations, CU Security, as well as interact with vendor representatives for moves approved and underway.
  • Prepare requisitions, purchase orders and keep current on invoices for payment.
  • Create a record keeping system of hard and electronic files for all project related correspondence, contracts, drawings, specifications and other documents.
  • Work with Finance in maintaining space inventory.
  • Responsible for maintaining schedules of the departmental conference rooms and for the facilities relating to the conference rooms.
  • Work with Mailroom staff to ensure that the day-to-day operations are maintained.
  • Perform additional related duties as assigned/needed.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience, plus two years of related experience.
  • Strong analytical and organizational skills
  • Must be motivated, well organized and have strong interpersonal skills
  • Excellent computer skills including Microsoft Office Excel

Preferred Qualifications

  • Ability to lift heavy weight/items in excess of 50 pounds
  • Must be able to use dollies and hand trucks

Other Requirements

  • Successful completion of applicable compliance and systems training requirements
