Position Summary

The Administrative Clerk is part of a team that delivers an exceptional patient experience through excellent customer service, empathy and patience.


Responsibilities

  • The Administrative Clerk is responsible for responding to patient inquiries and collections including pre-payments over the phone, posting payments and reconciling financial data on the computer, running and reviewing daily clinic reports. Maintain confidentiality of sensitive information.
  • Actively manage scheduling requests work queues, in-basket messages, and schedule adjustments to ensure timely completion or resolution of referral requests.
  • Assist with the management of clinic schedules to include template schedule build and modifications, as needed
  • Takes ownership for resolving scheduling conflicts and communicates with management team and care providers to resolve scheduling issues. 
  • Ensures "warm transfer" of calls/inquiries are routed to the correct party for resolution.  Escalates cases as appropriate. 
  • Fill/maximize empty chairs within a 48 hour outlook
  • Provide suggestions and recommendations to improve workflow, communication and overall protocols in an effort to better serve the needs of the patients and department.
  • Communicates insurance participation, financial responsibility (if applicable) and time of service policy to patient population.
  • Maintains knowledge of insurance requirements. Performs real-time insurance verification and interprets responses. Informs patient of insurance requirements for services provided.  Escalates cases for resolution as appropriate. Helps identify and document trends. Escalate issues to supervisor.
  • Patient reception, registration, and inquiries, verifying insurance eligibility when applicable.
  • Ensure all clinical care has been approved by day's end.
  • Collect payments and issue receipts.
  • Entering and verifying patient demographic information, and financial data on computer.
  • Run and review daily clinical reports for managing of patient accounts.
  • Under the direction of the Director of Operations, complete various reports
  • Complete patient's reimbursement insurance forms.
  • Perform other related duties as assigned.

Minimum Qualifications

Two Years of college or completion of secretarial school or equivalent business experience plus a minimum of  two to three years related experience.   


Preferred Qualifications

  • Bilingual - English and Spanish

  • Bachelor's degree desirable

Other Requirements

  • Minimum of 2 years of private practice, dental office experience or equivalent.

  • Payment handling experience and 2 years’ experience with computer input.
  • Knowledge of clinic computerized scheduling/chart/billing system.

  • Employee must abide by "Principles of Behavior."

  • Employee must be extremely personable and possess excellent communication skills.

  • Employee must also exhibit strong follow-through, establish and maintain effective working relationships with staff, students, and faculty, and maintain confidentiality of protected health and sensitive information.
