Position Summary

The Administrative Assistant will oversee and direct day-to-day office activities for the Vice-Chair for Faculty Development, Diversity, and Inclusion in the Division of Cardiology, Department of Medicine. They will be responsible for scheduling and coordinating meetings for the Vice-Chair. The selected candidate will coordinate activities related to education and/or teaching, conferences, lectures. They will be responsible for administering, purchasing, and personnel-related activities. They will serve as a liaison with departmental, university, hospital, and external offices. The selectee will prepare responses for routine correspondence. They will maintain and update files, and office supplies. The candidate will be expected to provide general office support. The Administrative Assistant will perform other related duties as assigned.


Responsibilities

  • Responsible for working closely with VC for Faculty Development, Diversity, and Inclusion to support the Division’s/Department’s strategic plan for the creation of a Diversity and Inclusion office which will include:
  • Communication Strategy (website, listservs, newsletters)
  • Increase Pipeline (advertisement, network, collaborations with diverse schools and programs)
  • Maintain (faculty development, mentoring, committees, lectures, workshops, social events)
  • Provides as-needed support for the VC including arranging meetings, conferences, travel, etc.
  • Assists in the reviews of current practices and policies, assessing and analyzing the extent to which they support or hinder the diversity goals.
  • Assists in the collection of statistical data to evaluate the departmental underrepresented population and assists in preparing reports to leadership and key stakeholders on a quarterly, annual, or as-needed basis.
  • Assists in drafting strategies and guidelines for the Divisions and hiring units to use in attracting faculty from diverse backgrounds (initial target of Blacks and Hispanic faculty).
  • Assists in the development and/or acquires training and development tools to aid diversity and retention initiatives for faculty.
  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience, plus three years of related experience.  Master's degree in the healthcare field would substitute for experience.
  • Experience in a healthcare setting
  • Excellent communication and presentation skills
  • Strong computer skills and/or experience with data analysis, display, trending using Excel or a similar program
  • Ability to exercise excellent judgment, confidentiality, and diplomacy in all interactions
  • Excellent organizational skills, initiative, and ability to work with minimal supervision
  • Ability to accurately handle diverse projects and a large volume of detailed work simultaneously and use good judgment in prioritizing work
  • Proven ability to interact with all levels of faculty and staff

Preferred Qualifications

  • Working knowledge of diversity initiatives
  • Understanding of diversity and inclusion subject matter

Other Requirements

  • Engaging personality and ability to understand the complex strategies in diversity
  • Must successfully complete systems training requirements.
