Position Summary

Reporting to the Chief Operating Officer and working closely with the Administrative team, the Administrative Coordinator provides proactive, responsive, and effective operational and administrative support and serves as a central resource in the coordination of essential office related administrative matters, while ensuring compliance with operational policies and procedures.  Working independently, the Administrative Coordinator exercises judgment, decorum, discretion and confidentiality in their communications with CIMC team members, University administrators, trustees, and external constituents.


Responsibilities

  • Responsibilities include, but are not limited to:

    • The Administrative Coordinator will be primarily responsible for the high-volume review and distribution of incoming electronic documents (including but not limited to, investment notices, periodic financial reports, tax and legal documents) to key constituencies. 
    • Creates, organizes and maintains critical office documentation, including Excel schedules, and contact information using the firm’s internal applications.
    • Coordinating with service providers to maintain the physical office, ordering supplies, furniture and other related equipment. 
    • Serves as the principal welcoming representative for the Office. Ensures visitors are appropriately received
    • Scheduling internal/external meetings
    • Covering a multi-line telephone
    • Handling inter/intra-office communications. 
    • Plans, researches, and coordinates special events and programs office-wide events (holiday parties, volunteer opportunities, etc). 
    • Other duties as assigned

Minimum Qualifications

  • Bachelor’s degree and/or the equivalent plus a minimum of two-four (2-4) years of related experience required.

Other Requirements

  • Excellent customer service, interpersonal, communication and organizational skills required. 
  • Proficient computer skills, including demonstrated ability to create and maintain efficient spreadsheets, adapt to new technologies and navigate databases. 
  • High degree of accuracy, attention to detail and ability to handle multiple projects with competing priorities are essential. 
  • Must be able to work independently and take a proactive approach.
