Position Summary

Reporting to the Director of Events, the Events Coordinator will be responsible for: (1) managing the logistics, administration, marketing and metrics for a dynamic portfolio of programs and events (over 100/year) at the Center on Global Energy Policy (CGEP); and (2) supporting the Director of Events in developing and improving the systems, processes and tools used in the events portfolio to enhance and improve workflow, collaboration, communication, and impact. The majority of events take place on the Columbia University campus in New York City. Other event locations include Washington, D.C. and Columbia’s global centers around the world. This role will interact with a wide array of Center stakeholders, including senior policymakers, private sector executives, NGO leaders and Columbia faculty, students, and administration.

Responsibilities

Work closely with the Director of Events and Assistant Director of Events on planning and coordinating the full life cycle of events related to the Center's research agenda.

  • Working with the Center’s research faculty to generate event ideas and formats.
  • Working with the CGEP finance team on budget development and tracking related to events.
  • Working with the CGEP communications team on marketing and event promotion to maximize impact and reach.
  • Independently coordinating event logistics including, but not limited to: preparing event agendas and timelines; using multiple CRMs to develop and manage event correspondence, guest lists and registration; researching and securing venues and making other logistical arrangements; conducting background research and preparing other materials; designing and administering post-event surveys, compiling post-event data, and tracking metrics.
  • Regularly staffing events and coordinating setup and breakdown and real-time troubleshooting. Events that the incumbent will execute independently include student roundtables, faculty presentations, public events, invitation-only dinners, and private workshops.

Work closely with the Director of Events and Assistant Director of Events to build and refine the infrastructure of the CGEP events portfolio.

  • Assist with the development of enhanced marketing strategies and tactics for events, tracking outreach channels, and identifying potential new outreach opportunities for disseminating event outputs to the widest audience possible.
  • Utilizing and improving various CRM systems to maintain accurate and detailed records of events metrics including data such as the number of in-person attendees, number of online viewers, and per-event budgets, soliciting attendee feedback and providing post-event evaluation summaries.
  • Analyzing data, with direction from the Director of Events and Assistant Director of Events, for trends to help develop and implement continuous improvements to maximize the value of CGEP events.
  • Reporting to the Director of Events on such metrics as needed for the purpose of grant reporting when appropriate.

Promote an inclusive and equitable environment for all students, faculty and staff.

Recruiting and managing student workers and student interns to assist with events.

Assisting with other special projects and initiatives as needed.


Minimum Qualifications

  • A bachelor's degree or equivalent in education and experience, and 2-4 years of full-time, directly related experience.
  • Ability to work in a fast-paced environment and handle multiple projects simultaneously, while maintaining strong attention to detail and accuracy.
  • Must demonstrate excellent verbal and written communication skills, maintain professionalism, and possess the ability to exercise excellent judgment, tact, confidentiality, and diplomacy in all interactions.
  • Demonstrated ability to take direction and follow instructions carefully, with the ability to work independently.
  • Must be available to work a flexible schedule, including early mornings and late evenings as events require.
  • Must possess strong organizational skills.
  • Demonstrated ability to contribute successfully to a team is essential.
  • Must be able to independently troubleshoot and problem-solve, as well as identify when to escalate issues when necessary.

Preferred Qualifications

  • Events marketing experience (e.g. Splash, Mailchimp, Greenvelope, etc.)
  • Experience with graphic design (e.g. Canva, InDesign, PPT, etc.)
  • Experience with Salesforce, Microsoft Office, Google Suite
