Position Summary

Working with the Associate Director Revenue Cycle & Clinical Operations, assists in the financial activities of the Orthodontic Clinic in the area of billing, cash management, accounts receivable & collection, accounts write-off and credits and denial management.


  • Coordinates with the Ortho Program Director in the scheduling and assignment of Ortho residents and faculty for clinical coverage and activities.
  • Ensures patient records are competed, EHR (EPIC) dental charge codes are tracked for billing, and fees are collected.
  • Monitors clinic revenue, patient billing, write-offs and financial protocols and procedures for Self-Pay patients.
  • Perform community outreach and marketing of Orthodontic services.
  • Maintains working relationships with all functional areas, postgraduate students, staff, students, faculty, patients, outside departments and vendors from a clinical standpoint.
  • Recommends solutions for student and faculty concerns from the clinical standpoint, and suggest ways to improve performance from the clinical operations.
  • Responsible for the oversight of the Orthodontic Postgraduate dental clinic including all administrative aspects of Self-Pay patient's daily operations.
  • Interprets and implements clinic procedures to ensure compliance with Federal, state, and local regulations such as; Article 28, Medicaid, and HIPAA regulations.
  • Responsible for recruitment of new self-pay patients.
  • Perform community outreach and marketing of Orthodontic services and contributes to clinical volume growth.
  • Performs monthly, quarterly, and annual reporting on new patient recruits.
  • Presents and monitors Self-Pay contractual agreements to patients.
  • Explains financial responsibility of the orthodontic Self-Pay contract and payment plan options, comprehensive treatment plan, and ensures patient signature.
  • Coordinates and reconciles individual patient Lyra billing to the EHR (EPIC) to ensure accuracy of dental charges for patient statement billing.
  • Keeps informed of technical advances in healthcare.
  • Assumes responsibility for self-development.
  • Coordinate activities with the Orthodontic Billing Specialist to ensure conformity of EHR documentation and verification of patient insurance carrier.
  • Responsible for monitoring & ensuring that the residents' schedules are filled to meet clinical demands & maximize chair utilization.
  • Prepares and distributes scheduling for orthodontic post-graduate students in compliance with departmental policy.
  • Assists the Program and Division Directors with the accreditation process from clinical standpoint; assists in preparation and coordination of materials and resources for the site visit reviews, and for internal reviews as scheduled by the COM committee.
  • Coordinates patient recruitment and chart availability for clinical research projects in accordance with IRB guidelines.
  • Escalates any issues as appropriate.
  • Advises Senior Leadership on matters pertinent to the excellence in Orthodontic postgraduate program.
  • Performs other duties and responsibilities as assigned.

Minimum Qualifications

  • Bachelor's degree or equivalent plus three years of related experience.
  • Bilingual skills (English/Spanish) required.

Preferred Qualifications

  • Experience with IDX billing systems preferred.
  • Project oriented experience.
  • Experience establishing relationships with insurance companies.

Other Requirements

  • Prior experience in a dental practice, administration, and billing.
  • Must be motivated with excellent communication (verbal/written) and problem-solving skills.
  • Team-oriented, interpersonal, relationship building and conflict resolution skills.
  • Ability to work with minimal supervision and handle multiple projects simultaneously is important.
