Position Summary

The Programs Coordinator will provides planning, coordination, and logistical support for the Center for Teaching and Learning’s spaces and events as well as oversees student employees and provides support for all CTL staff.


Event and Workshop Coordination

  • Schedule and facilitate meetings to identify programming needs for events, workshops, institutes, seminars, orientations, university-wide events, etc.
  • Oversee registration of all CTL events.
  • Oversee communication between program leads and Library Finance Office.
  • Liaise with University Events Management, Facilities, space coordinators, caterers and other outside vendors.
  • Order materials and coordinate catering for all CTL events.
  • Support set up, tear down, and execution of all CTL events.
  • Schedule and facilitate meetings with CTL programming staff to engage in event reflection process.

Outreach and Information Managment

  • Document and refine all processes related to programming, student employee supervision, and CTL policies
  • Track workshop and event attendance patterns as requested

Student Employee Supervision 

  • Hire and place all student employees to support programs and events, in consultation with relevant Center staff leading the programs and events
  • Train all student employees
  • Create and manage student employee schedules
  • Oversee timecard submission and liaise with Human Resources Department and Library Finance Office on behalf of student employees


  • Support administrative staff in day-to-day operations as needed, including a small amount of regular reception coverage
  • Report to the CTL Executive Assistant; attend weekly check-ins, weekly administrative staff meetings, monthly all-staff meetings, visioning and strategizing meetings, and other meetings as they arise

Minimum Qualifications

  • Bachelor’s degree and/or its equivalent experience required
  • 2–4 years of related experience required
  • Strong event planning and event protocol/process skills
  • Solid event marketing skills
  • Ability to participate in a project team to plan and deliver effective programs
  • Excellent written and verbal communication skills.
  • Strong interpersonal,  and leadership skills
  • Ability to multi-task and work well under pressure
  • Ability to navigate a complex, diverse organization and build strong relationships
  • Track record of being pro-active, innovative, and forward thinking
  • Proficient in Microsoft Office, email marketing software, event management software
  • Ability to work a flexible schedule including some evenings and weekends

Preferred Qualifications

  • Event planning experience in an academic setting
  • AV Skills
